Systems for practices where the front desk is the bottleneck
A practice rarely has a marketing problem. It has a scheduling problem, an intake problem and a recall problem, and each of them quietly reduces the number of chairs filled this month.
We build the systems around the front desk so the front desk can do the part that needs a person.
What is actually true about this trade
- New-patient enquiries arrive outside office hours more often than inside them
- Intake paperwork completed in the waiting room slows the whole day
- Recall is where most practices lose revenue they have already earned
- Patients compare practices on reviews and photographs far more than on copy
- Anything touching patient information carries obligations most website vendors ignore
Where the money leaks
- Enquiries arriving when nobody is at the desk
- Evenings and weekends are when people book healthcare. An answering system that captures and schedules out of hours changes the monthly number more than any advertising.
- Intake collected twice
- Once on paper, once into the practice system. Digital intake sent ahead of the appointment removes both the duplication and the waiting-room delay.
- Recall that depends on someone remembering
- Automated recall against your existing patient records recovers revenue from patients you already have — the cheapest growth available to a practice.
- A website that does not answer the real questions
- Cost, insurance, what the appointment involves, and who the clinician is. Practices that answer these plainly convert far better than practices that lead with a stock photograph.
What we build for it
- Out-of-hours booking and answering
- Capturing the enquiries that arrive after five
- Digital intake before the appointment
- Completed at home, in the patient's own time
- Automated recall
- Working from your existing records, not a separate list
- Treatment pages that answer cost and process
- The two questions that decide whether they call
- Clinician profiles with real credentials
- Expertise made visible, because in this field it is the product
- Review generation that stays compliant
- Never soliciting patients selectively, never incentivised
On compliance
Anything that collects patient information has obligations — HIPAA where it applies, and Google's own standards for health-related content. We build to keep protected information out of systems not designed to hold it, and we will say plainly when a request would create exposure. This is not legal advice, and for anything consequential you should have counsel review it.
Common questions
- Is our practice management system a problem?
- Usually not. Most have some form of integration, and where they do not, the answer is normally to build around them rather than replace them. Replacing a working practice system is rarely worth what it costs.
- Can you handle patient information?
- We design so that protected information stays in systems built to hold it. Where a request would put it somewhere it should not be, we will tell you rather than build it.
- Do we need a new website, or just better booking?
- Frequently the second. If your existing site brings people in and the booking process loses them, rebuilding the site solves nothing. We will measure which one you have before quoting.
